Tournament Mgmt Pro is a tournament-management platform for organizers, team managers, coaches, and other adult users. Tournament organizers remain responsible for their events, rules, eligibility decisions, and participant relationships.

1. Scope and Our Role

This Privacy Policy explains how Sports Mgmt Pro, LLC, doing business as Tournament Mgmt Pro (“TMP,” “we,” “us,” or “our”), collects, uses, discloses, and protects personal information through tournamentmgmtpro.com, app.tournamentmgmtpro.com, and related services (collectively, the “Services”).

This Policy applies to visitors, prospective customers, tournament organizers, organization administrators, team managers, coaches, and other people who use the Services. It does not govern a tournament organizer’s independent websites, offline activities, event operations, or other services.

Organizer relationship. Tournament organizers decide what registration and roster information to request, which teams to accept or waitlist, what event information to publish, and how to run their tournaments. For personal information we process on an organizer’s documented instructions, the organizer is the business/controller and TMP acts as its service provider/processor. For TMP’s own account administration, security, billing, support, sales, and service-improvement activities, TMP acts as the business/controller.

2. Personal Information We Collect

Information you provide directly

  • Contact and organization information, such as name, email address, mobile or other phone number, organization name, organization address, city, state, ZIP code, website, and inquiry details.
  • Account information, such as name, email address, mobile number, password or authentication credentials, account role, and account preferences.
  • Tournament and registration information, such as tournament selections, team and club information, age group or division, coach or team-manager details, conflicts, registration status, vouchers, fees, and payment status.
  • Roster and participant information requested by an organizer. Depending on the organizer’s form, this may include player names, dates of birth or age categories, jersey numbers, eligibility details, and other information needed to administer the event.
  • Content and communications, such as tournament descriptions, rules, refund policies, venues, announcements, uploaded materials, support messages, demo requests, and feedback.

Payment and transaction information

The Services support credit-card and ACH payments through Stripe and may support other payment methods chosen by an organizer. Stripe and applicable banks or payment networks receive payment credentials needed to process the transaction. TMP generally receives transaction details such as payer identity, amount, date, payment method type, status, refunds, disputes, and a processor token or reference, rather than complete card or bank-account credentials.

Information collected automatically

When you use the Services, we and our providers may collect IP address, device and browser type, operating system, pages and features used, referring URLs, dates and times, identifiers stored in cookies or similar technologies, approximate location derived from IP address, and diagnostic, security, and activity logs.

Information displayed publicly

Public tournament pages may display tournament and organization names, team names, divisions, venues, schedules, scores, standings, brackets, rules, fees, deadlines, and other information an organizer chooses to publish. Roster or player information is displayed publicly only when the applicable organizer enables or directs that publication.

3. Sources of Personal Information

We collect personal information from you; from tournament organizers, coaches, team managers, parents, guardians, and other authorized adults; automatically from browsers and devices; and from service providers such as payment processors, hosting providers, communications providers, analytics providers, and fraud-prevention services.

4. How We Use Personal Information

  • Provide, operate, maintain, and secure the Services and user accounts.
  • Create and administer tournaments, registrations, rosters, waitlists, schedules, brackets, scores, standings, announcements, refunds, reports, and exports.
  • Process payments and vouchers, record transaction status, help resolve payment disputes, and maintain financial and tax records.
  • Communicate about accounts, registrations, schedule changes, event announcements, support, security, demos, products, and service updates.
  • Customize and improve the Services, develop features, analyze usage and performance, and troubleshoot errors.
  • Prevent fraud, abuse, unauthorized access, and violations of our Terms; protect users, organizers, TMP, and the public.
  • Comply with law, enforce agreements, establish or defend legal claims, and complete corporate transactions.

5. How We Disclose Personal Information

We may disclose personal information to the following recipients for the purposes described above:

  • Tournament organizers and authorized organization personnel. Registration, roster, payment-status, and communications information is made available to the organizer responsible for the event.
  • Other users and the public. We publish tournament, team, schedule, score, standings, and related information as directed by organizers or users.
  • Payment providers. We disclose information to Stripe, banks, payment networks, and other parties involved in processing payments, refunds, disputes, and fraud prevention.
  • Service providers. We use providers for hosting, storage, security, customer support, communications, analytics, document generation, and other business functions.
  • Professional advisers and authorities. We may disclose information to auditors, insurers, attorneys, accountants, courts, regulators, law enforcement, or other authorities when reasonably necessary or legally required.
  • Business transactions. Information may be disclosed in connection with financing, due diligence, merger, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate safeguards.
  • At your direction or with your consent.

We do not sell personal information for money. We do not knowingly sell or share for cross-context behavioral advertising the personal information of people under 16. If our use of analytics or advertising technologies is treated as a sale or sharing under applicable law, you may opt out as described below.

6. Cookies and Similar Technologies

We and our providers may use cookies and similar technologies that are necessary for authentication, security, preferences, performance, analytics, and communications. You can use browser controls to limit cookies, although some Services may not function properly. Where required by law, we will request consent for non-essential technologies. We also honor legally required opt-out preference signals, such as Global Privacy Control, when received in a supported browser.

7. Data Retention

We retain personal information for as long as reasonably necessary to provide the Services, maintain accounts and tournament records, fulfill organizer instructions, process payments and disputes, comply with legal and accounting obligations, protect security, and enforce agreements. Retention depends on the information’s nature, the organizer’s configuration and contract, the event lifecycle, legal limitation periods, and security needs. We may retain deidentified or aggregated information where permitted by law.

8. Security

We use administrative, technical, and physical safeguards designed to protect personal information. No online service, storage system, or transmission method is completely secure. Users are responsible for choosing secure credentials, protecting account access, and promptly notifying us of suspected unauthorized use.

9. Youth Participants and Children’s Privacy

Accounts are intended for adults and are not offered directly to children under 13. Youth players should not create accounts or submit personal information directly. Coaches, team managers, parents, guardians, and organizers may submit information about youth participants when they are authorized to do so and must obtain any parental or guardian notice and consent required by law.

If we learn that personal information was collected directly from a child under 13 without legally sufficient authorization, we will take reasonable steps to delete it. A parent or guardian may contact us to request access to, correction of, or deletion of a child’s information. Because organizers control most roster and registration records, we may forward or coordinate the request with the applicable organizer.

10. Your Privacy Choices and Rights

Depending on where you live and subject to legal exceptions, you may have rights to know or access personal information; obtain a portable copy; correct inaccurate information; delete information; opt out of certain sales, sharing, or targeted advertising; limit certain uses of sensitive personal information; withdraw consent; or appeal a denied request. You will not be unlawfully discriminated against for exercising a privacy right.

We may verify your identity and authority before acting. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and direct identity verification.

For information controlled by a tournament organizer, we may direct you to that organizer or assist it in responding. You may also update certain account information through the Services.

11. California Notice

California law may require additional disclosures. In the preceding 12 months, we may have collected the categories described in Section 2, including identifiers; customer records; commercial and transaction information; internet or electronic activity; approximate geolocation; professional or organization information; sensitive information such as account credentials and payment-related information; and inferences drawn from activity or preferences. We collect these categories from the sources in Section 3, use them for the purposes in Section 4, and disclose them to the recipients in Section 5.

We do not use or disclose sensitive personal information for purposes that require a right to limit under California law. We do not have actual knowledge that we sell or share the personal information of consumers under 16. California residents may exercise applicable rights to know, delete, correct, opt out of sale or sharing, limit certain sensitive-information uses, and receive nondiscriminatory treatment by using the contact methods in Section 10.

12. International Use

TMP is based in the United States. If you access the Services from another country, your information may be transferred to, stored in, and processed in the United States and other locations where our providers operate, subject to applicable legal safeguards.

13. Third-Party Services and Links

The Services may link to organizer websites, venues, payment providers, or other third-party services. Their privacy practices are governed by their own notices, not this Policy. We encourage you to review them before providing information.

14. Changes to This Policy

We may update this Policy from time to time. We will post the revised Policy and update the effective date. If changes are material, we will provide additional notice when required by law. Continued use after the effective date of a revised Policy is subject to applicable law.
